Going Paperless - Scanning Receipts

Recommended Posts

What do you use for scanning your expenses and such to send off to your accountant? I'm think of going paperless. Having just been photocopying everything to date, throwing in a shoe box and sending to bookkeeper. Maybe there is an easier way??

I've read about these sheet scanners but not sure if they are worth it.

I have my own scanner but just want some quick and fast that I can do without having to get up and walk over to the scanner LOL Not to mention it would be easier if it just autofiled the scan somewhere so I could send end of month.

Candy, I know you went paperless awhile back...how is that going and what do you recommend?

I think Candy's still using her Fujitsu SnapScan.

I've traded computers too often and now my little NeatReceipts scanner is in a drawer. I use the flatbed quite a bit because often we have a larger sheet of paper. The NeatReceipts will take a full sheet, but it was slow.

When I have lots of little things, I have "tacked" them onto a larger sheet of paper with tape, then flat scan the bigger sheet. Sometimes a project has small receipts that can use the continuity of a larger sheet of paper.

Hi Tawnya,

For speed and ease of use, you really can't beat the ScanSnap. It does duplex (both sides) and will almost always scan those little bitty receipts that drive you nuts too. It also does business cards. For you, you could set up like a dropbox or something to pop your stuff into, your bookkeeper could download things, separate out the pages and file them under the correct name (or just leave them bundled, it depends on what works best for you).

I don't think I can properly explain how much faster the ScanSnap is than a flat bed or even that neat receipts thing. They have a new S1500 (well, newer - I have the S510).

is a great upgrade (WANT!).

Seriously. Get it. Trust me.

Tawnya,

For the Fujitsu ScanSnap, I found this:

1. This product supports Microsoft® Windows®.

2. ScanSnap Manager V5.0 is for use on select Windows operating systems; however, ScanSnap Manager V3.0 is also bundled with this product and supports select Mac operating systems. For complete details, see http://ScanSnap.fujitsu.com/.

3. For use with Service Pack 4 or higher.

4. For use with Service Pack 2 or higher. Compatible with Windows® XP Professional / Home Edition.

5. The Windows® Desktop Search function supports Windows Vista™ and Windows® XP. Search functionality for Windows® 2000 Professional is only supported by Adobe® Acrobat® 7.0 and Adobe® Acrobat 8.0.

6. Requires Microsoft® Internet Explorer 6.0 or higher.

Here's the one I looked at: http://www.fujitsu.com/us/services/computi...snap-s1500.html

P.S. I think Candy has an affiliate link if you want to use it, but you'll have to ask her.

Hmmm...doesn't say it's compatible with Win 7 though...I'll have to contact them. I'll be buying directly here through my computer guy but tell Candy to throw her affiliate link here in this thread for others :)

Yeah, I have one through Amazon http://bit.ly/cEJbFv - I don't care if you use it or not though, I still stand 100% behind the product.

It is somewhat compatible with Win 7... here's a notice from Fujitsu about it http://www.fujitsu.com/downloads/COMP/fcpa...s7_bulletin.pdf - looks mainly like the Cardminder is not supported nor is sharepoint, but I don't use those anyway...

Oh, you are so tempting me to buy this one and upgrade my S510 LOL

Hmmm...wonder if that means I won't be able to scan business cards then as I wanted to use it for that too? Why don't you go buy it and sell your old one here ;)

Go with the Scan Snap. I also have the S510, and will buy another

Scan Snap when this one goes.

There is a neat little feature that lets you scan to a Searchable PDF.

This means you can scan to a PDF and copy information out of it for

use somewhere else. It takes a lot longer to scan, and the OCR isn't

great, but it gets pretty close.
