Organising an Online Conference

Hi, I'm hoping someone might be able to help.


One of my favourite clients has asked me to look into organising an online conference for his society. My expertise is in 'live' conferences and so I was wondering if anyone could recommend any useful tools/hosts/booking systems that will help me make the initial move forward with this.

Hi Sheena,

 

We just finished up VAvirtuosos last week which is a week long seminar series.

 

Some tools we use for our conference every season are...

  • Adobe Connect for our room.
  • We also use JotForm to collect speaker applications and files for speakers.
  • We use Dropbox to organize all our files which each other.
  • We also use a spreadsheet in Google Drive to keep track of everything

Thanks for your reply which is very helpful indeed. At the moment the client is toying with combining a 'live' event with a virtual one so it could be interesting times ahead!

Sheena, Danielle plans our whole online conference so if you have any questions just ask her.

 

Combining a live event with an online one is very doable too. You can use Ustream or maybe even google hangouts to do the virtual side of the conference. That way the attendees that are virtual can chat and ask questions too,

Ditto what Danielle said.

 

Jotform is great for organizing speaker content, requests etc as it allows you to easily create reports and there is a great free version, I also use it to collect info from speakers for live events as well.

Dropbox is great for being able to share access to the files across the internet, safely and securly.

 

As far as booking I am not sure I quiet understand what you are referring to?

 

If you are looking to coordinate speaking times you could include a question in the jotform that asked them to give 3 dates and times they could speak.

 

I too use a google drive spreadsheet to track the info received, what is outstanding, what we need to update to the website etc.

 

All the deliverables are outlined in the project management system

I think so Skype is the best option in organizing the online conferencing. Both video and audio supportive, this tool works compatbly with all sort of arrangements.

In my experience Skype is not a good tool for an online confernece, it is not reliable and does not allow the interaction needed.

 

If you are looking for help with recording conferences, etc you could look at doing audio or video, such tools as Instant Teleseminar, GoToWebinar, Webinar Jam are all great tools in my experience that allow you to easily record online events and then send recordings after the fact :)
